- Your first step is to backup the database (File - Backup Database). You may call the backup whatever you want (like 'scrip2009-2010.db') and save it wherever you want. It is advisable to eventually archive this backup onto a flash drive, CD or network drive.
- After backing up, you can then choose 'File - Purge Records'. You should check the boxes to purge all sales, purchases, expenses and credits from your database - all people and vendor account information will remain. If you do NOT choose to purge all inventory, then your inventory will carry over from the previous year. If you are rolling over inventory, then be sure there is no inventory reading in the negative (you should not be owing anyone anything). If you forgot to purge and you already started your new year, you may choose the Purge by Date option to select dates to purge.
- After purging, you can clean up your database by deleting families, vendors or denominations you no longer need. You can then start entering data as usual for the new program year.
Opening a Previous Year's Database File
If you ever need to go back to last year's database file, simply choose 'File - Open Database' from the main screen (or when launching the software) and click the 'Browse' button to browse to where you saved your database (from Step 1 above).
Renaming Your Database File (if needed)
If you need to rename your current database for any reason, simply go to your database file location on Windows (the path is shown in the 'Open Database' screen) and right-click on the file and choose "Rename". After renaming the file, launch Scrip Pro and click the 'Browse' button at the 'Open Database' screen to browse to the file and open it.
